Executive Assistant – Responsibilities:
- Calendar Management: Efficiently manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure all engagements are prioritized and organized
- Communication: Act as the primary point of contact between the CEO and internal/external stakeholders. Handle all correspondence, including emails, phone calls, and written communication with the utmost confidentiality and professionalism
- Meeting Coordination: Prepare agendas, briefing materials, and presentations for meetings. Attend meetings, take minutes, and follow up on action items to ensure timely completion
- Travel Arrangements: Coordinate complex travel itineraries, including flights, accommodations, ground transportation, and visas. Ensure seamless travel experiences for the CEO
- Event Planning: Organize and execute high-profile events, conferences, and social engagements. Manage guest lists, invitations, and logistics to ensure flawless execution
- Administrative Support: Handle day-to-day administrative tasks, including expense reporting, document management, and office organization. Maintain accurate records and files
- Project Management: Assist with special projects and initiatives as directed by the CEO. Conduct research, compile data, and prepare reports as needed
- Relationship Management: Build and maintain strong relationships with key stakeholders, including clients, partners, and senior executives. Represent the CEO in a professional and polished manner
- Confidentiality: Maintain the highest level of discretion and confidentiality in all matters related to the CEO and the organization
- Social Media Management: Manage the principal’s social media accounts, including content creation, posting schedules, and engagement with followers. Ensure the CEO’s online presence aligns with their personal brand and organizational goals
Executive Assistant – Requirements:
- Bachelor’s degree in business administration, communications, or a related field preferred
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role supporting C-Suite executives
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively
- Excellent written and verbal communication skills
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and other relevant software
- Ability to handle sensitive information with the utmost discretion and confidentiality
- Demonstrated ability to work independently and take initiative in a fast-paced environment
- Professional demeanor and appearance, with strong interpersonal skills
- Flexible and adaptable, with the ability to handle changing priorities and work under pressure
- Experience in event planning and project management is a plus
- Familiarity with social media platforms and best practices for managing professional accounts
